Inventory Control keeps track of all furniture, equipment, and real property. Capital items are assigned an inventory number and are entered into the system with all pertinent information (i.e., inventory control number, description, location, cost, date purchased, etc.) Inventory Control also reconciles local records with the State Property Accounting System (SPAS) to insure all assets are properly recorded.
The Inventory Control Department is responsible for property inventory records; receipt processing, delivery of freight, mail services and office supply sales activity. One of the functions of Inventory Control is to ensure that equipment is protected from theft, pilferage and damage by activities charged with the equipment. Any loss of equipment should be promptly reported to the college police department. Property that meets the criteria for missing or stolen property must be processed according to the prescribed format for deletion of records. Loss through negligence may after an investigation result in pecuniary liability for custodians of the equipment. Any violations committed by any individual or department is responsible for the State Property to the State Auditor directly and the office of the Attorney General Investigating Team.
